The travel Depot – booking & cancellation policy

1. General Booking Conditions

1.1 By making a booking with The Travel Depot, you agree to the terms and conditions outlined in this policy.

1.2 All bookings are subject to availability and confirmation from the airline, hotel, tour operator, cruise line, or service provider.

1.3 Prices are quoted in NZD/AUD unless otherwise stated and are subject to change until full payment is received.

1.4 Passport validity, visas, travel insurance, and entry requirements are the responsibility of the traveller.

2. Deposit & Payment Terms

2.1 A deposit may be required at the time of booking as per airline or supplier rules.

2.2 Full payment must be made prior to ticket issuance or Online Hotel Booking.

2.3 Payments not received by the due date may result in automatic cancellation by the supplier.

2.4 The Travel Depot accepts payment via bank transfer, credit/debit card, or other approved methods.

3. Airline & Supplier Terms

3.1 Each airline, hotel, tour operator or cruise line has its own fare rules, change fees, refund policies, and conditions of carriage.

3.2 The Travel Depot is required to follow these supplier rules strictly and has no authority to override them.

3.3 Refund processing times are determined by the airline/supplier and may take 8–12 weeks or longer.

4. Changes & Amendments

4.1 Any name changes, date changes, routing changes, or other amendments are subject to airline/supplier rules.

5. Some fares are strictly non-changeable or non-refundable.

6. Cancellation Policy

6.1 Cancellation requests must be submitted in writing to sales@thetraveldepot.co.nz / info@traveldepot.com.au or your assigned travel consultant.

6.2 Cancellations are subject to airline/supplier penalties, which may include:

  • 100% cancellation fees
  • Partial refund with a penalty
  • Credit for future travel (with validity restrictions)


6.3 The Travel Depot cancellation service fee is non-refundable.

6.4 Refunds will be processed only after the airline/supplier approves them.

6.5 Credit vouchers (if offered) will follow airline/supplier conditions, including:

7. Failure to board a flight

7.1 Failure to check in or failure to board a flight (“no-show”) may result in:

  • Full fare forfeiture
  • Loss of all future travel sectors
  • No entitlement to refund unless permitted by airline rules


7.2 No-show penalties are determined by the airline and cannot be waived by The Travel Depot.

8. Travel Insurance

8.1 The Travel Depot strongly recommends purchasing travel insurance to cover:

  • Cancellation fees
  • Medical emergencies
  • Lost baggage
  • Travel delays
  • COVID-19 disruptions (where applicable)


8.2 The Travel Depot is not responsible for costs incurred due to lack of insurance.

9. Client Responsibilities

Travellers must ensure:

  • Accurate spelling of all names as per passport
  • Valid passport (minimum 6 months)
  • Required visas and permits
  • Compliance with health/vaccination requirements
  • Correct contact information is provided
  • Any costs arising due to incorrect details are the responsibility of the traveller.

10. Liability Disclaimer

10.1 The Travel Depot acts as an agent for airlines, hotels, and other suppliers.

10.2 We are not responsible for:

  • Changes/cancellations made by airlines
  • Flight delays or schedule changes
  • Baggage issues
  • Service disruptions caused by weather, strikes, or operational decisions


10.3 Compensation requests must be directed to the airline/supplier as per their policy.

11. Privacy & Data Protection

11.1 All customer information is stored securely and used only for booking purposes.

11.2 Personal details may be shared with airlines, immigration authorities, or suppliers as required.

12. Acceptance of Policy

By confirming a booking with The Travel Depot, the customer acknowledges and accepts all terms outlined in this policy.
